Position
Role Overview
The Information Governance Manager (m/f/d) is responsible for shaping and managing EIT RawMaterials’ information governance framework and digital workplace environment. Acting as the solution owner for information management within the IT Operations team, the role oversees the design, implementation, and continuous improvement of document management, collaboration, metadata, access control, and information lifecycle processes across Microsoft 365 and related platforms. The Information Governance Manager works closely with business stakeholders to translate operational, compliance, legal, tax, and security requirements into scalable, user-friendly, and compliant-by-design solutions, ensuring that information is structured, secure, accessible, and effectively managed throughout its lifecycle. Through well-governed digital systems and processes, the role enables efficient collaboration, regulatory compliance, and sustainable knowledge management across the organisation.
Key Responsibilities
Information Management Architecture
Design, implement, and continuously improve a company-wide information and document management architecture.
Own the technical structure, configuration, and operation of the organisation’s information management environment, currently based on Microsoft 365 and SharePoint.
Ensure seamless integration of information management solutions with the broader IT landscape, including ERP, CRM, operational platforms, business applications, and data environments.
Define and maintain information architectures, metadata frameworks, taxonomy standards, and access control models.
Ensure scalability, maintainability, and future readiness of information management solutions and platforms.
Document Management System (DMS) & Governance
Lead the development, implementation, and operation of the organisation’s Document Management System (DMS).
Establish and maintain a practical governance framework covering document organisation, metadata standards, user permissions, lifecycle management, and information classification.
Define and enforce standards for document storage, retrieval, version control, and collaboration.
Ensure information assets remain structured, accessible, and compliant across their lifecycle.
Compliance by Design
Translate legal, regulatory, tax, compliance, and business requirements into functional system designs and technical solutions.
Design and maintain document retention, archiving, and records management processes aligned with applicable legal and regulatory obligations.
Ensure audit-proof, revision-safe, and compliant information storage and management practices.
Enable the organisation to meet information governance, compliance, and documentation requirements through effective system design and controls.
Automation & Process Enablement
Identify opportunities to automate information management and document-related processes.
Design, implement, and optimise digital workflows, including approvals, document reviews, electronic signatures, and lifecycle management processes.
Drive continuous improvements in process efficiency, user experience, and organisational consistency.
Leverage Microsoft 365 and related technologies to streamline information management processes and reduce manual effort.
Information Governance & Digital Workplace Solutions
Act as the solution owner for information management and digital workplace tools within the IT Operations team.
Define best practices for collaboration, document management, information sharing, and knowledge organisation.
Evaluate and implement enhancements that improve governance, usability, and business effectiveness.
Ensure solutions align with organisational objectives, compliance requirements, and user needs.
Training & Organisational Enablement
Develop and deliver training programs for information management solutions, including SharePoint, DMS platforms, Microsoft 365 applications, and emerging technologies such as Copilot.
Create and maintain user-focused documentation, guidelines, procedures, and onboarding materials.
Drive user adoption and promote best practices for information governance and digital collaboration.
Act as a trusted advisor and subject matter expert, providing guidance and support to business teams across the organisation.
Vendor & Implementation Management
Manage external consultants, implementation partners, freelancers, and service providers involved in information management initiatives.
Ensure implementation quality and alignment with enterprise architecture, governance principles, security requirements, and business objectives.
Oversee project delivery, acceptance, and ongoing solution performance.
Serve as the primary internal owner for information management-related implementations and enhancements.
Data Security & Risk Management
Ensure information management solutions comply with IT security policies, standards, and best practices.
Support information security initiatives, audits, certifications, and compliance frameworks such as ISO 27001.
Collaborate with security, legal, and compliance stakeholders to mitigate information-related risks.
Incorporate privacy, security, and risk considerations into solution design and governance frameworks from the outset.
Your profile
· Strong experience in designing information architectures and document management solutions, including structured storage, collaboration, and lifecycle concepts.
· Hands-on expertise in Microsoft 365, particularly SharePoint, with familiarity in modern tools such as Copilot Studio or comparable platforms.
· Solid understanding of data structures, metadata models, and access management concepts, with the ability to design scalable and user-friendly solutions.
· Experience in establishing governance frameworks and applying “compliance-by-design” principles within systems and processes.
· Good understanding of system integrations and application landscapes, including how to connect information management solutions with business systems (e.g. ERP, databases, SaaS tools).
· Proven ability to design and implement automated workflows and digital processes, improving efficiency and standardisation.
· Experience in driving user adoption and delivering training/enablement, ensuring effective and consistent usage of systems across the organisation.
· Experience in working with external vendors or implementation partners, ensuring quality delivery and alignment with requirements.
· Awareness of information security, data protection, and risk mitigation practices, and ability to incorporate them into system design.
· Excellent communication skills, with the ability to act as the central coordination point between business stakeholders and external IT providers for information management and governance activities.
